For example, getting philosophical, I’ll reference the well known <a href="http://en.wikipedia.org/wiki/Maslow%27s_hierarchy_of_needs">Maslow’s “hierarchy of needs”</a>. Most of us would like to believe that we are at the top level of this pyramid, self actualization. In this level of hierarchy, we desire to realize our full potential, or in other words, be all that we can be. But what happens when both IT professionals and users find themselves at this level of the pyramid?<br />
<br />
This constant thrive for self-realization often leads to a paradox. The more you get or achieve, the more you will want because when you have achieved what you want, you no longer desire it. Instead, you have to desire something new. Something perceived as bigger or better.<br />
<br />
When you consider that this is how many individuals operate, it’s easy to see how this can turn into a challenging, never ending cycle in everyday life, and also in the world of IT. How can you successfully deliver IT services to a user base with never ending desires?<br />
<br />
Standardization may seem like a logical choice for today’s IT departments from a cost savings perspective, and it certainly fills IT’s desire to be efficient and well managed — the best it can be. But does it make sense when you consider the needs of today’s user base? (A user base with an infinite desire for flexibility, personalization and ease of use.)<br />

When you take the time to see IT from a user’s perspective, standardization doesn’t seem like a viable option. Yet, many companies feel it’s the only way IT departments can reap benefits like:<br />

The constant struggle between IT-departments and users is reaching new heights. Well-managed desktops through lock-down and standardization are mantras for most IT administrators. On the opposite side of the scale is the personalized desktop, where users have the freedom to adapt their workspace according to personal needs and preferences. <br />
<br />
With the never-ending wave of change, new client devices are turning up faster and faster. Users are at the same time getting more and more demanding. As a result, the cost effective, secure and standardized desktop is under tremendous pressure. The question today is how to achieve both standardization and personalization. <br />
<br />
So, what exactly is personalization and why should you care?<br />
<br />
Personalization is all around us, and in many cases a key factor for productivity and security. It is also important for a comfortable and enjoyable user experience. Let’s look at an everyday example: In your car, you are likely to adjust your seat and the position of the steering wheel for optimal comfort. For the best view and security, the mirrors are adjusted. And for easy operation, you may program the stereo with your favorite radio channels.<br />
<br />
If you only have one car, never use other vehicles, and if you are the only person using that car, this personalization becomes standard. However you may find it annoying when all these adjustments are gone after the car had a visit to the auto repair service. If other family members or colleagues are using the same car, it becomes even more of a headache. And if cars were like Windows PCs with mandatory profiles, you would have to manually re-apply all personal adjustments every time you started it.<br />
<br />
The reason this is a challenge is because the personalization is physically tied to the car itself. But what if you could separate all these individual adjustments and preferences from the car and make them follow the user instead? Some carmakers are already offering some of this through storing personal seat, steering wheel and mirror adjustments in a personal car key. <br />
<br />
If the future would allow storing all these settings in your driver’s license or fingerprint, personalization might become completely portable. Every time you get into the driver seat of any car, your personal profile would be applied automatically including seats, mirrors, radio channels and whatever individual preferences the car may offer. Now you can pick up a rental, use one from the carpool, or even buy a new car, without having to waste any time on personalization. <br />
<br />
Ever picked up a rental car in a hurry and forgot to adjust the mirrors before hitting the highway? Or tried to locate your favorite radio channels when your eyes should have been on the road? Empowering users with personalization would have a significant impact on security, as well as productivity and user experience. <br />
<br />
Applying this example to IT, today’s users can actually be offered the benefits of personalization without compromising standardization and cost effective client management. Through the concept workspace management, all of a user’s personalized settings, preferences and configurations can be separated from the physical device and operating system. This allows for “dynamic desktops” where personalization follows the user regardless of operating system, device, physical or virtual desktop, etc. The devices themselves can be managed by IT in an effective and standardized way — bridging the gap and conflict between IT administrators and users.<br />

As I sat down a businessman at the next table caught my attention. His entire body language was screaming in frustration, and he appeared to be very close to pouring his entire freshly brewed, steaming hot Grande Triple Shot Cappuccino over his laptop.<br />
<br />
Just a few days ago his laptop was upgraded to the new Windows 7 OS. He really liked the look and feel of this new operating system. His laptop was faster and there was a lot of new great stuff in there. Unfortunately, his tools and applications were not really working anymore.<br />
<br />
He told me that his day had turned into a complete disaster. It all started just before lunch when a colleague called to check if he was ready for their joint meeting with a new prospect. He had totally forgotten about the appointment, and this had never happened before. He would always get a reminder on both his computer and cell phone 1 hour and 45 minutes prior to any bookings put into his calendar. Because of his busy workdays he was totally dependent on these alerts, and one of the IT guys had once showed him how to personalize his Outlook application to always generate these default reminders at exactly 1.75 hours prior to the event. But after he got Win7 on his computer, none of his new appointments worked this way anymore.<br />
<br />
This was only the beginning of his nightmarish day. Already late, he rushed to his cubicle, logged onto his laptop and pulled up the business proposal for the new prospect. There were a few lines to be completed, and as he was typing in Word the system was constantly changing many of his words as he was writing. This had happened before a long time ago, but he had figured out that he needed to personalize and tune the “Auto Correct” and dictionary and spelling configurations.<br />
<br />
He had made many of these changes over time so that he could work faster, and now even this seemed to be screwed up. Running the spell check after his updates, all of the technical terms and words that he had previously added to his personal custom dictionary were also lost, and he had to manually run them. Now he was really running late.<br />
<br />
He clicked the print icon, tossed his laptop into his bag and ran past the printer on his way out. But the document was not there. Stressed and frustrated, he fired up his laptop again, logged on, opened the document and this time clicked through the menu of file, print and then started searching for his printer in a jungle of all kinds of strange descriptions. Which one was it???<br />
<br />
Fortunately he noticed a tag on the printer “NY_Sales_PRT064032”, and after a few minutes found that a print driver with the same name still existed on his laptop even after the new Windows 7 installation. A little relieved but still stressed, he selected the printer, printed and grabbed the documents before rushing out the door.<br />
<br />
His colleague was all ready with the car outside, and they took off at light speed to make this important appointment. With the business proposal in his hands he started flipping through the pages and realized that something had gone terribly wrong.<br />
<br />
The whole document was printed on poor quality paper, and the company’s logo and headers weren’t on the pages. How could this have happened???<br />
<br />
When printing these kind of documents to that specific printer, it had always selected the tray with really nice, high-quality paper with the company header and logo.<br />
<br />
So there he was. Late. Uncertain about the quality of his proposal. Unhappy with its sloppy appearance. He was feeling the heat—bad— and the last thing his proposal needed was sweat spots.<br />
<br />
Needless to say, he told me that the day did not turn out very well. Less than an hour after that meeting the company’s VP of Sales instructed him to get on a plane and head to HQ the very next day. And here he was…<br />
<br />
The change to Windows 7 can be a great upgrade for your business and users. There are many advantages and enhancements. Making sure that users get all of their data and applications back after the migration is a very good start. However, remember that every user has customized and personalized most of their applications over time. They customize their calendar, their notes, the way their Office applications work, printers, web browser and more. Most of these individual customizations are done to be more productive and efficient.<br />

If you are planning to implement Windows 7, you must consider how it will impact your users. By separating all of the user settings, customizations and personalization from the applications and the operating system, you can easily make the move to Windows 7 and let users keep their own personal workspace at the same time!<br />

En opprørt kar på nabobordet fanget umiddelbart oppmerksomheten. Frustrasjonen lyste, og han syntes nær ved å helle kaffekoppen over PC-en. For få dager siden hadde han fått oppgradert PC-en til Windows 7 (W7). Han likte utseendet og opplevelsen, PC-en var raskere, og hadde flere nye flotte funksjoner. Men dessverre fungerte ikke alt som før. <br />
<br />
Han fortalte at gårsdagen ble en katastrofe. Det startet før lunsj da en kollega ringte og påminnet om et viktig møte med en potensiell kunde. Han hadde helt glemt avtalen - og det hadde aldri skjedd før. Han fikk alltid påminnelser fra både PC og mobiltelefon 1 time og 45 minutter før kalenderavtalene, noe han var helt avhengig av i en travel hverdag. En gang hadde en IT-kollega vist hvordan man tilpasser Outlook, og de hadde lagret disse standard påminnelsene. Etter W7 ble installert fungerte ikke dette lenger. <br />
<br />
Allerede sent ute løp han til kontoret, logget på PC-en og åpnet kundens tilbudsdokument. Det manglet bare noen få linjer. Han begynte redigeringen, men oppdaget at Word stadig forandret mange av ordene automatisk mens han skrev. Dette hadde skjedd en gang for lenge siden, men løste seg ved å tilpasse stavekontroll og autokorrektur funksjonen – ett eller annet sted.<br />
<br />
Over tid hadde han gjort mange slike tilpassinger og endringer. Det gjorde hverdagen enklere og han ble mer effektiv. Nå var alt borte. Til slutt valgte han stavekontroll. Men nå var alle tekniske begrep og ord, som han selv hadde lagt til i ordlisten også vekk. Det var ikke tid til å gjennomgå alt dette manuelt, for nå var han virkelig sent ute.<br />
<br />
Han klikket på utskrift, slengte PC-en i sekken og løp forbi skriveren på vei ut. Men hvor var utskriften? Stresset og frustrert startet han PC-en igjen, logget på og åpnet dokumentet. Denne gangen gikk han via menyene fil og skriv ut for å velge skriver manuelt. Nå måtte han søke etter skriveren i en jungel av alle slags betegnelser. Heldigvis oppdaget han en merkelapp på skriveren; "Salg_PRT064032". Etter noen minutter fant han en skriver med samme navn. Lettet, men fortsatt stresset valgte han utskrift, grep dokumentene og spurtet ut døren. <br />
<br />
Kollegaen ventet utenfor, og bilen var i bevegelse før han hadde lukket døren. Det var en viktig avtale og mye stod på spill. Tilbudsdokumentet var fremdeles varmt fra skriveren. Han kikket gjennom sidene, og skjønte at noe hadde gått fryktelig galt. Alle sidene var av svært dårlig kvalitet. Papirene var matte, og bedriftens tillitsvekkende logo og sirlige brevhoder manglet. Hvordan kunne dette skje? For tilbudsdokumenter hadde alltid utskriften kommet fra papirskuffen med riktig papir. De var svært nøye med dette og benyttet alltid papir med glans, høy kvalitet og innpreget logo for viktige tilbud.<br />
<br />
Så her satt han men bilen suste avsted. Stresset, forsinket og usikker på både innhold og kvalitet i tilbudet som skulle presenteres. Han ble uvel, varm – og det siste tilbudet trengte var svettemerker. Som vi skjønner gikk ikke dagen særlig bra. En snau time etter kundemøtet ringte salgsdirektøren. Han ble beordret om å ta første fly og møte på hovedkontoret neste dag. Og her var han nå... <br />
<br />
W7 kan være en stor overgang for brukerne. Operativsystemet har mange fordeler og forbedringer, men det finnes fallgruver. At brukerne får sine data og programmer tilbake etter migrering er en god start. Men dersom brukerens individuelle tilpassinger, preferanser og konfigurasjoner utelates – kan overgangen bli som i denne historien. <br />
<br />
En PC blir personlig over tid. De aller fleste tilpasser sin kalender, sine notater, diverse innstillinger i programvare som MS Office, økonomisystemer, Web-lesere, selve skrivebordet, skrivere osv. I tillegg til at det forenkler hverdagen blir brukerne mer produktive. Det er også en viktig trivselsfaktor.<br />
<br />
Når du planlegger innføring av W7, må brukerperspektivet tas med. Ved å virtualisere brukernes innstillinger, tilpasninger og konfigurasjoner – separeres de fra applikasjoner og operativsystem. Dermed kan slike tilpassninger følge brukeren uavhengig av klient og OS. På denne måten blir det enkelt å innføre Windows 7 samtidig som brukerne beholder sine personlige arbeidsflater.<br />

Jeg har nylig vært på en ukes Roadshow sammen med Microsoft og andre partnere hvor tema var overgang til Windows 7 og virtuelle arbeidsflater. I løpet av denne uken hadde jeg gleden av å møte nesten 150 dyktige IT mennesker fra ulike bedrifter og organisasjoner.<br />
<br />
I møte med alle disse oppdaget jeg det som kanskje er det aller viktigste for dagens klient og desktop løsninger – spesielt i lys av alle forestående prosjekter for overgang til Win7 og innføring av VDI løsninger.<br />
<br />
Det jeg vil beskrive er hvordan denne overgangen kan bli et strategisk løft i stedet for å bare være et taktisk og kortsiktig teknologi bytte.<br />
<br />
En av utfordringene med ”Windows Desktops” er at de er relativt <u>statiske</u> og krever mye manuelt vedlikehold. Administrasjon av statiske løsninger medfører ofte mye skreddersøm og scripting sammen med mange manuelle verktøy. Dette blir komplekst, dyrt å drifte og lite fleksibelt og brukervennlig.<br />
<br />
<u><b>Løsningen er å innføre ”Dynamiske Arbeidsflater”.</b></u><br />
<br />
<i><b>En dynamisk arbeidsflate er en Windows basert arbeidsflate </b></i><br />
<i><b>(fysisk eller virtuell) som er oppmerksom på sammenhengen eller konteksten brukeren til enhver til er i – og i samsvar med dette dynamisk tilpasser arbeidsflatens innhold og utseende.</b></i><br />
<br />
Det å være oppmerksom på sammenheng eller kontekst og dynamisk tilpasse seg er velkjent på mange områder. Ta bil som et eksempel; Den kan være oppmerksom på at det regner og selv starte vindusviskere. Noen er oppmerksomme på at objekter nærmer seg når en rygger og varsler umiddelbart. Display for radio og konsoll kan skifte kontrast og utseende i mørke kontra lyse. Noen biler kan til og med dimme fjernlys automatisk når en møter biler i mørket.<br />
<br />
Slike funksjoner gjør hverdagen enklere for brukeren – en slipper lete gjennom instruksjonsboken eller ringe serviceverkstedet for å finne ut av avanserte funksjoner. Brukeren kan fokusere fullt og helt på oppgaven å kjøre bil. Resultatet blir økt kjøreglede, bedre produktivitet og høyere sikkerhet.<br />
<br />
På samme måte som bilen, kan også en ”Windows Desktop” eller arbeidsflate gjøres intelligent og dynamisk. <br />
<br />
På kontoret trenger brukeren en bestemt kombinasjon av applikasjoner, data, skrivere og brukerinnstillinger – dette er en personlig arbeidsflate. Når brukeren flytter seg til en annen lokasjon og logger på, presenteres arbeidsflaten i samsvar med hvem brukeren er, aktuell rolle eller situasjon, lokasjon, hvilken klient som benyttes og hva klokken er. For dette stedet kobles også automatisk de nærmeste skriverne opp.<br />
<br />
Benyttes en laptop hjemmefra er arbeidsflaten igjen oppmerksom på hvor brukeren er - og tilpasses dynamisk for hjemmelokasjon og gjeldende tidspunkt. Av sikkerhetsgrunner er nå tilgang til sensitive data og applikasjoner blokkert – men her gis det tilgang til tjenester som iTunes og musikk.<br />
<br />
Dynamiske arbeidsflate sørger for at den riktige arbeidsflaten alltid er tilgjengelig uansett hvor brukeren er. Resultatet blir en enklere hverdag og økt arbeidsglede, færre helpdesk henvendelser, høyere produktivitet og bedre sikkerhet.<br />
<br />
Dersom din virksomhet planlegger overgang til Windows 7 eller innføring av VDI løsninger vil gevinstene bli langt større ved å først eller samtidig ta steget til dynamiske arbeidsflater.<br />
<br />
RES Software gjennomførte i juli-august en nordisk spørreundersøkelse hvor nesten 1000 IT-sjefer og spesialister deltok. Blant disse har 8 av 10 besluttet å gå til Windows 7, og nær halvparten vil også innføre virtuelle arbeidsflater. De største bekymringene er migrering av brukerprofiler, tap av produktivitet og misfornøyde brukere. Dette kan man enkelt unngå ved å innføre dynamiske arbeidsflater som et ledd i prosjektet.<br />
<br />
Undersøkelsen viser også at de aller fleste forventer å bruke fra 7-18 måneder på prosjektet. Analyse og design sammen med testing forventes å ta lengst tid. Det som er viktig å tenke på i denne sammenheng er hva en ønsker å oppnå. Et tradisjonelt prosjekt vil bringe virksomheten fra statiske Windows XP eller Vista desktops, til en ny men fremdeles statisk Windows 7 desktop. Alternativt fra en statisk lokal desktop til en ny men fremdeles statisk virtuell desktop.<br />
<br />
Når en uansett planlegger å bruke 7-18 måneder på å innføre en ny desktop løsning, hvorfor ikke høste gevinsten av å gjøre den nye plattformen til dynamiske arbeidsflater? Dette vil samtidig forenkle prosjektet, og sørge for at brukerne beholder sine personlige innstillinger og preferanser etter overgangen.<br />
<br />
Det jeg hører fra mange IT medarbeidere er slike prosjekter preges av ressursknapphet, milepæler, deadlines og hastverk. I en travel hverdag gir dette store utfordringer, og det blir lite tid til ettertanke og de overordnede langsiktige mål.<br />

<br />
Et operativsystem i seg selv er ingen strategi, og overgang til Windows 7 er isolert sett bare et taktisk teknologivalg. Dersom visjonen er å levere mer effektive verktøy til bedriftens ansatte er derimot innføring av dynamiske arbeidsflater en tydelig og god strategi.<br />

<b>A survey of close to 1000 IT professionals in the Nordics conducted by software company RES Software shows that eight out of ten businesses have decided to roll out Windows 7, and almost half will roll out virtual workspaces by the end of the year. Migrating user profiles is considered the biggest challenge.</b><br />
<br />
The survey shows that almost eight out of ten companies are planning to migrate to Windows 7 (W7), with the same amount having purchased licenses already. 34 percent have already rolled it out, and almost four in ten indicate that they have a few selected users up and running the operating system. 65 percent do not have any tools or procedures to migrate back from W7 on challenges arise.<i> </i><br />
<br />
<i>“According to IDC over half of all businesses will migrate to W7 at the end of the year. The big challenge is that user settings and preferences disappear unless procedures are in place. This leads to large additional charges," said Ole-Kristian Sivertsen at RES Software.</i><br />
<br />
Eight out of ten believe analysis and design of the platform will take up to six months, with the remaining using more time. For application testing, 75 percent believe that this will also take the same amount – up to six months. 40 percent indicated that they will spend more than six months on the actual roll-out. Next to application compatibility, migrating user profiles, downtime and lost productivity, lack of knowledge of the user environment and potentially disgruntled users are the biggest concerns.<i> </i><br />
<br />
<i>“To deliver the same desktop environment is a necessity for a migration. We want to make it easier, safer and cheaper to manage users' desktop environments. Migrations are not difficult if you have the right tools. The process should take place without the users being affected, "says Sivertsen.</i><br />
<br />
50% have decided to roll out virtual workspaces from Citrix or VMware. 45 percent by the end of the year, another 20 percent set in 2011.<br />
<br />
<i>"This confirms what many people know. Virtual workspaces are one of the biggest growth rockets in the market. The results show that customers have realized the many advantages of the concept. It is positively surprising that so many say they should have it in place during the fall, " says Sivertsen. </i><br />
<br />
<b>Nordic findings </b><br />
The survey was also conducted in the Swedish and Danish market. Number of respondents in these two markets were almost 300 in total. Although the answers to a large extent aligned, there are also some interesting differences: <br />
<ul><li>The Swedes are on top in the decision to roll out W7 (85 percent)Four out of ten Danish companies have rolled out W7, compared with three out of ten Norwegian and Swedish</li>
<li>50 percent of Norwegian companies have taken the decision to roll out virtual workspaces. In Sweden and Denmark four out of ten have made the decision</li>
<li>Four out of ten Danish companies have not decided when the deployment of virtual workspaces to happen (six out of ten will be in place by the end of next year s). Just over half of Swedish companies will have it in place by the end of 2011</li>
<li>Half of the Swedish migration projects are delivered on time and on budget. Similarly, Norway and Denmark were ten percent lower</li>
<li>The Danes set a higher degree of planning for emergency preparedness plans / tools for the transition back from W7 (rollback)</li>
<li>Norwegian companies will use the shortest time on analysis and design of W7, the Swedes the most</li>
<li>Danes calculated shortest time to application and functionality testing (55 percent in under three months)</li>
<li>Half of Danish enterprises will have deployed the W7 to all users within three months. The Swedes will take the best time, probably because they have many special adaptations and tailoring to the user environment</li>
<li>Danish and Norwegian companies believed that the migration of user profiles will provide them with as many challenges. The Swedes were most worried about downtime and lost productivity. Other special concerns across the region were: Many tedious manual processes, dissatisfied users, the migration at the expense of more strategic initiatives and whether users would have the same permissions, the rights and programs as they had before migration</li>
<li>When asked about their thoughts on migrations, most respondents emphasized strongly that it is mission critical. About 15 per cent in each country believed migrations are fun. Between ten and 20 percent thought it was a necessary evil</li>

<b>About the Survey </b><br />
The web-based survey was conducted from Nordic end-users in July 2010 with nearly a thousand answers. 676 people answered the survey in Norway. Seven out of ten worked in the private sector. More than half had more than 500 IT users in the business. Half were architects or IT consultants. 20 percent were IT or operations manager. In Sweden, 179 people answered the survey. Seven out of ten came from the private sector. 55 percent from businesses with fewer than 1,000 IT users. In Denmark, there was 111 responses. Eight out of ten from the private sector, and seven out of ten had fewer than a thousand users in the IT environment. <br />

Overgang til Windows 7 står for tur hos mange virksomheter. Mange har allerede investert i lisenser, men ikke like mange har begynt utrulling av nytt operativsystem til sine brukere. <br />

RES Software er samarbeidspartner av Microsoft, Citrix og VMware, og gjennomfører en spørreundersøkelse om migrering av brukermiljø og operativsystem. Undersøkelsen vil se nærmere på hvordan endringer som berører brukernes skrivebord utføres, hvilke utfordringer det medfører og hva slike overganger betyr for norske virksomheter. <br />

Deltakere i undersøkelsen kan være med i trekning av en Apple iPad. For å delta i trekning må en velge JA på spørsmål om ønsket deltakelse i trekning. Trekningen vil foretas med ”random record selection” fra database over alle som har valgt å være med i trekningen. Vinneren annonseres sammen med resultat fra undersøkelsen mandag 16 august. <br />
