Emerging Technology - Dynamic, User-Centric & Context-Aware Desktops

A Dynamic Desktop is a Windows-based Workspace (physical or virtual) that is aware of the situation or context of the user at any given time and dynamically adjusts the content and appearance of the workspace accordingly. A key component to Dynamic Desktops is that they are Context-Aware.

This is one of the most important technologies for today’s desktop and client solutions (physical/local and/or virtual desktops, including Windows 7 or VDI solutions). It is a proven strategy that reduces complexity and cost - and increases overall productivity, security and job satisfaction.

Dynamic Desktops is a key factor in moving from a device-centric to a user-centric approach, and the end result will enable IT organizations to mature to the service-centric model. For delivering IT as a Service or Desktop as a Service - a dynamic infrastructure is crucial.

A Dynamic Desktop has the unique capability of presenting a personalized dynamic workspace on any Windows based client or desktop solution, the underlying operating system can be locked down and centrally managed. According to Gartner this can Cut Total Cost of Ownership for Desktops and Laptops by 42-45%.

Gartner Group have also gathered a lot of research within the area Context-Aware Computing that is relevant for this technology space.

Dynamic Desktops are implemented, delivered and managed by the technology "User Workspace Management". This concept virtualizes all of the users personal and individual preferences, settings and configurations by separating them from the applications and operating system. This allows for all these personalized settings to follow the user - regardless of client and operating system. This allows for migrations to Windows 7 or Virtual Desktops without impacting end-users and their productivity.

Other technologies that are relevant for Dynamic Desktops:
  • Workspace Virtualization
  • Persistent Personalization
  • Zero Profile Technology

Transition to Windows 7 and Adoption of VDI – Short-term technology refresh, or a strategic direction?

I've recently been on the road for a week conducting seminars together with Microsoft, as well as other partners. The theme of our road show was the transition to Windows 7 and Virtual Desktops. During the week, I had the pleasure of meeting nearly 150 skilled IT professionals from various companies and organizations.

In light of all of the pending projects for transitioning to Windows 7 and introducing VDI solutions, I’ve realized that it has become critical for IT to determine how to make these changes part of a new strategic direction for their organization, instead of viewing them as just another tactical, short-term technology refresh.

One of the challenges of Windows Desktops is that they are relatively static and require a lot of time consuming maintenance. Administration of static solutions will lead to a lot of customization and scripting along with many manual tools. This is complex, expensive to maintain, inflexible, and not very user friendly.

The solution: "Dynamic Desktops”

A Dynamic Desktop is a Windows-based workspace (physical or virtual) that is aware of the situation or context of the user at any given time and dynamically adjusts the content and appearance of the workspace accordingly.

Situational and context awareness aren’t entirely new concepts. Take the modern-day car, for instance. A car may be aware that it is raining and start the wipers at the correct speed. Some cars are aware of nearby objects when reversing and alert the driver immediately. Radio and console displays can change their level of contrast and appearance when the surroundings are dark versus light, and some cars can even dim high beams automatically when approaching other cars at night.

These features make life easier for the user, or in this case, the driver. Like today’s cars, a technology rich "Windows Desktop" or workspace can also be intelligent and dynamic.

In the office, a user needs to access a unique combination of applications, data, printers, and user settings— this is a personal workspace. When the user moves to another location and logs on, the content and appearance is delivered according to who the user is, their current role or situation, the location, what device is being used and the time of day. For this specific location, access to a local printer is automatically provided.

If a user logs on to a laptop from home, the workspace is aware of where he/she is and dynamically adapts for the home location and current time. For security reasons, access to sensitive data and applications can be blocked, but in the evening, the user may have access to services like iTunes and their music.

Dynamic Desktops ensure that wherever a user is, the right workspace is always available. The result is more simplicity and increased job satisfaction for users, as well as fewer help desk calls, higher productivity and better security for businesses.

If your organization is planning to implement Windows 7 or VDI solutions, the gains can be far greater by making the move to Dynamic Desktops beforehand (or simultaneously).

Earlier this year RES Software conducted a survey related to Windows 7 and VDI adoption and related challenges. Close to 1,000 CIOs and IT specialists participated. Among these, 8 out of 10 responded that they will implement Windows 7, and nearly half will also introduce Virtual Desktops. The biggest concerns they expressed were the migration of user profiles, loss of productivity and dissatisfied users.

The survey also shows that the vast majority expects their project to take 7-18 months to complete. Analysis, design and testing are the phases expected to consume the most time. This is also a good reason to clearly identify what an organization is looking to achieve.

A traditional project will bring the infrastructure from static Windows XP or Vista desktops to a new but still static Windows 7 desktop.

When planning to use 7-18 months to introduce a new Desktop Solution anyway, why not reap the rewards of making the new platform Dynamic?

This will also ease migration headaches, provide better quality and reduce risk for the project. It even ensures that users retain their personal settings and preferences, so they can be fully productive during and after the migration.

What I hear from many IT professionals about projects like this is that they tend to have a lack of resources, challenging milestones and deadlines – and there is always an urgency. In a busy workday, these challenges leave little time for reflection and the overall long-term goals.

Remember that speed is rarely a good tradeoff for the lack of direction. My advice is to stop and decide on a strategic direction before you jump into tactical technology moves.

An operating system itself is not a strategy, and transition to Windows 7 is only a tactical choice of a technology refresh. If the vision is to deliver more effective tools for company employees, and to improve overall productivity,  the introduction of Dynamic Desktops is a clear and sound strategy.

A Strategy for Future Ready Desktops!

Migrations to Windows 7 and Virtual Desktops in rapid growth!

Four out of ten are delivering migration projects on time and on budget

A survey of close to 1000 IT professionals in the Nordics conducted by software company RES Software shows that eight out of ten businesses have decided to roll out Windows 7, and almost half will roll out virtual workspaces by the end of the year. Migrating user profiles is considered the biggest challenge.

The survey shows that almost eight out of ten companies are planning to migrate to Windows 7 (W7), with the same amount having purchased licenses already. 34 percent have already rolled it out, and almost four in ten indicate that they have a few selected users up and running the operating system. 65 percent do not have any tools or procedures to migrate back from W7 on challenges arise.

“According to IDC over half of all businesses will migrate to W7 at the end of the year. The big challenge is that user settings and preferences disappear unless procedures are in place. This leads to large additional charges," said Ole-Kristian Sivertsen at RES Software.

Eight out of ten believe analysis and design of the platform will take up to six months, with the remaining using more time. For application testing, 75 percent believe that this will also take the same amount – up to six months. 40 percent indicated that they will spend more than six months on the actual roll-out. Next to application compatibility, migrating user profiles, downtime and lost productivity, lack of knowledge of the user environment and potentially disgruntled users are the biggest concerns.

“To deliver the same desktop environment is a necessity for a migration. We want to make it easier, safer and cheaper to manage users' desktop environments. Migrations are not difficult if you have the right tools. The process should take place without the users being affected, "says Sivertsen.

50% have decided to roll out virtual workspaces from Citrix or VMware. 45 percent by the end of the year, another 20 percent set in 2011.

"This confirms what many people know. Virtual workspaces are one of the biggest growth rockets in the market. The results show that customers have realized the many advantages of the concept. It is positively surprising that so many say they should have it in place during the fall, " says Sivertsen.

Nordic findings
The survey was also conducted in the Swedish and Danish market. Number of respondents in these two markets were almost 300 in total.  Although the answers to a large extent aligned, there are also some interesting differences:
  • The Swedes are on top in the decision to roll out W7 (85 percent)Four out of ten Danish companies have rolled out W7, compared with three out of ten Norwegian and Swedish
  • 50 percent of Norwegian companies have taken the decision to roll out virtual workspaces. In Sweden and Denmark four out of ten have made the decision
  • Four out of ten Danish companies have not decided when the deployment of virtual workspaces to happen (six out of ten will be in place by the end of next year s). Just over half of Swedish companies will have it in place by the end of 2011
  • Half of the Swedish migration projects are delivered on time and on budget. Similarly, Norway and Denmark were ten percent lower
  • The Danes set a higher degree of planning for emergency preparedness plans / tools for the transition back from W7 (rollback)
  • Norwegian companies will use the shortest time on analysis and design of W7, the Swedes the most
  • Danes calculated shortest time to application and functionality testing (55 percent in under three months)
  • Half of Danish enterprises will have deployed the W7 to all users within three months. The Swedes will take the best time, probably because they have many special adaptations and tailoring to the user environment
  • Danish and Norwegian companies believed that the migration of user profiles will provide them with as many challenges. The Swedes were most worried about downtime and lost productivity. Other special concerns across the region were: Many tedious manual processes, dissatisfied users, the migration at the expense of more strategic initiatives and whether users would have the same permissions, the rights and programs as they had before migration
  • When asked about their thoughts on migrations, most respondents emphasized strongly that it is mission critical. About 15 per cent in each country believed migrations are fun. Between ten and 20 percent thought it was a necessary evil

About the Survey
The web-based survey was conducted from Nordic end-users in July 2010 with nearly a thousand answers. 676 people answered the survey in Norway. Seven out of ten worked in the private sector. More than half had more than 500 IT users in the business. Half were architects or IT consultants. 20 percent were IT or operations manager. In Sweden, 179 people answered the survey. Seven out of ten came from the private sector. 55 percent from businesses with fewer than 1,000 IT users. In Denmark, there was 111 responses. Eight out of ten from the private sector, and seven out of ten had fewer than a thousand users in the IT environment.
